Sage Fixed Assets Premier Depreciation (Version 2012.1) - Removing Subtotals in Export Excel Reports

Hello,

I'm working through FAS Premier Depreciation and was trying to automate some rollforwards we create from the NBV reports we pull out of FAS.  The problem we are having with FAS is that the excel imports are not user friendly due to the breaks in information and subtotals.  I have illustrated the issue below.  I have tried to edit the report to remove these subtotals, but the report writer within the application does not appear to allow me to remove the subtotals.  Has anyone been able to remove the subtotals?  We are trying to remove all no-continuous detail and subtotals so we can easily do v-lookups and pivot tables in excel.

    There are 2 export options available for Excel, and it appears that you have exported your report into the "page-based" file option.  For the most part, it looks pretty, but your file also contains merged cells which can make some of the operations you intend to perform, e.g., pivot tables and such, difficult.

    Instead, I recommend you try the "record-based" option which is the second Excel export option in the menu list, and specifically designated as "Microsoft Excel 97-2000 - Data Only (XLS)."   Your report might not look quite as pretty as before but will give you the singular integrity of one value per column.  This will make the numbers much easier to work with!

    If you upgrade your software to 2014.1, you will see that the new version offers 3 Excel export options, the old 2 that you currently see, plus a new one that is also "record-based" but designated as "Microsoft Excel Workbook Data-Only (*.xlsx)."

    I recommend, however, that you contact the Sage Support Desk at 1-800-331-8514 for some help.  It is now a 2-year leap for you to make the upgrade from your currently installed version 2012.1 to the newest release 2014.1, and some technical help will be invaluable to you as you make that transition.

    Bob,

    We always export using Data Only, but it still has the problem of listing subtotals at the bottom for every class.  If that can go away in the report, I would have what I needed.

    I am using Fixed Asset Depreciation version 2014.1.  When I use the "Data-Only" options as mentioned, for exporting Excel files, the report heading and column headings do not export with the report.  Is anyone else having this problem?  How can I get it to export in an editible version, and still retain the headings?

    After making your selection to Microsoft Excel 97-2000 - Data Only (XLS), in the dialog box that appears next, click on Options in the lower right-hand corner.  With the bottom portion of the dialog box expanded, toggle the default check off of the option to "simplify page headers."

    If you don't want the subtotals in the Excel file containing the exported report, just delete those rows.

    In the SFA-Depreciation program, however, if you sort the data by Class as you have already done in your report, subtotals will appear.  There is an option on the Format Report tab in the Report Definition window to choose none for Subtotals, and maybe you should try that.  Personally, I am not sure that the data display will be meaningful to you.   The records will continuously display in order of Asset Classes but without subtotals for each group.  And you will still see a Grand Total at the end of the report.  But try it and see if that is closer to what you are looking for.
