Sage HRMS Link or Mass Update

SUGGESTED

Is there a way to update employee salaries using a mass update or Link? We have 300 wage increases for 4/1/2021. We use HR Actions to push all changes individually, but for this, it would be awesome if there was an import function that could achieve this while also pushing the current wage to job history. I do not want the new wage to overwrite the current wage. Also, the increases are all different (ie. some are 3%, 1.5%, 10%, etc).

Any ideas?!!

THANKS!

Yes, you can use the Sage HRMS Link to import in pay changes and it will save job/pay history just like it was entered in through HRMS directly or HR Actions. What I would recommend is to make a template in Link that contains the following:

    1. Company
    2. Employee ID
    3. First Name
    4. Last Name
    5. Current Hourly Rate
    6. Current Pay Period Salary
    7. Current Annual Rate
    8. Hours per Pay Period
    9. Pay Frequency (if all employees aren't the same, otherwise skip)
    10. Pay Effective Date
    11. Pay Change Reason
    12. Next Pay Review Date

You can then use this template to export to a csv. Make yours edits to this csv in Excel, being careful with leading zeros in employee ID. You can delete employees from the export if necessary. Calculate all three pay rates (hourly, pay period, and annual) so that you can be sure the system has the correct rate. Update the pay effective date with the new effective date. Update the change reason with the new reason code for the change. Update the next pay review date. Save the updated file as a csv and make sure you don't have a header row in the file.

Backup HRMS. Then import the file in using the same template that you used for export. Once the import is complete, link should always show 0 new records and XX records updated. The records updated should match the number of rows in the csv. If you see anything except 0 new records, there was an employee number mismatch or some other problem with the import such as the header row was left on the file. At this point you would want to restore and review the file for issues. Assuming there were no new records added, in HRMS run the process under Employees called "Import Calculations". Now review the records in HRMS for accuracy and you are done.

Steve, could you please elaborate on the Job History portion of your reply?  Does this method create records in the HJOBHIS table, or does it only update the Previous Pay fields in HRPERSNL?  I've used Link files many times in the past but have never been able to make it create records on the HJOBHIS table, so your reply gives me hope that I may be overlooking something.

STeve, that was such a huge help. I'm actually working on this now. Do you know where I should go to find the "field name" for current pay period salary and current annual rate and hours per pay period? When I upload annual pay, it never updates the field for me so I'm guessing it's because I don't have all those other fields on my spreadsheet.
