Previous Payments not Showing Despite Recording

Hello,

I'm using timeslips 2018 and I'm trying to generate a bill/pre-bill however no matter what I do it does not seem to show the previous payment made. The payment is there and recorded, appearing on the bill search line, but it does not seem to register any payments made on the billing assistant or the bill proper. When I pull up the billing assistant it shows that a payment was made on the correct date, but does not reflect the payment on previous charges and shows a 0 on payments and other A/R transactions. Pulling it up on accounts receivable shows that the payment was applied and recorded properly - generating the bill/pre-bill,however, acts as if the payment were never made. I made sure to tick the box that says A/R transactions obey the slip date range finder and when I try to apply a new payment on the client it acknowledges the payment there. I really need help!

    When you look at the payment in Billing Assistant, does it have a little check in the box to the left?

    The payment does not show up in billing assistant it only shows up when I pull up accounts receivable and click Show Payments and Receivables. The only information billing assistant shows was that there was a payment made on the date. I'm also not sure what box you are referring to? If you mean the boxes under options, checking or unchecking the boxes does not seem to affect whether the payment appears on the bill.

    (Okay, we can back and forth on this here on the bulletin board, but it would probably be a lot faster to just hire Caren or I to remote in and look at it with you.)

    Your first two sentences in your reply are confusing to me.  You either SEE the payment in Billing Assistant or you don't.  Let me try to walk you through to were I want you to look:

    Open Billing Assistant and pull up that Client record in Single Client View.

    In the menu running down the left-hand side, click on A/R: Transaction List.  This should show any unbilled A/R Transactions for that account.  I would expect you to be able to see your payment in question listed on the right. Is it listed?

    IF it is listed, then the left-most column of the list should show a small box related to that particular A/R Transaction.  If Timeslips thinks it should be including that transaction on the bill, the box will have a check in it. 

    So, my question to you was: Does it, in fact, have a check in that tiny box?

    Followed your instructions, it is not listed in the A/R transactions list tab and I don't see any payments in that window. However, in the the overview tab it shows the date of last payment correctly and when I navigate to accounts receivable and search in Show Payments and Receivables for that client it does show up in that search and does show up as having been recorded as a payment for the previous invoice. I can't seem to delete that payment, but would rejecting that invoice and entering a new payment for the same amount solve the issue?

    No, don't try to do that yet.

    On the Show Payments and Receivables for that client, does it have a little yellow (or red) envelope on the line with the payment?

    A yellow envelope means the payment has been included on a bill that was approved. A red envelope means the payment has been included on a bill that is in proof or revision stage. You will not see the payment in billing assistant or in a pre-bill if it is already approved. If the bill is in proof or revision you can clear and then the payment should show up. If the bill is approved you would have to undo it.

    Okay, then, that means that that payment has ALREADY appeared on a bill and been approved, so Timeslips will not print it again as it would be duplicating that entry.  I.e., it isn't supposed to be showing because it has already been shown to the client.

    If you check your reprint bill images, you might be able to see it on the last bill.

    So there was a bill for this client that was undone because it did not reflect the payment on the previous invoice - which is the problem I'm having right now trying to create a new invoice for the client. It seems odd to me that how the payment can be credited in accounts receivable, showing a new A/R balance with the payment, but in Billing Assistant or generating it in bill/pre-bill it's as if the payment was never made.

    The payment in question does not appear on the last bill that's the reason why it was undone in the first place. The only other invoice that can be reprinted at this point is the original invoice which the payment is credited to.
