LawPay - Timeslips and Undo bills

We just integrated LawPay with our Timelips 2019.  I set up a dummy account for myself with a $1 invoice and used the e-mail template I set up with the new LawPay tokens.  It all worked great (after several errors messages that shut done TS)!  However, I wanted to see what would happen if I had to "Undo" the bill.  I was disappointed to see that the LawPay link in the e-mail I received still showed the $1.00 due.

I'm not sure how Timeslips and LawPay communicate with one another, but I was surprised that the link wouldn't now reflect that the $1.00 was no longer available to pay.

Any knowledge of this aspect being worked on?

  • Hey Katmit:

The LawPay link is brand new in v2019, which has only been out a couple of months, so we don't have a ton of experience with it yet.

So, I get that you created a bill and got the email to fire off with the link. Just trying to understand the second part.  So you undid the bill in Timeslips, cool, no problem.  But then it sounds like you went back to the original email and the link in that still showed $1.00.  Is that right?

If so, I'm not really surprised to hear that.  My understanding of the way the link works right now is that the link in the email carries the balance due information with it to LawPay.  When you click on that, it tells/prompts LawPay to populate the payment amount with how much the invoice was.  LawPay does NOT in any way look into the Timeslips database to see the current balance due, it just takes what the link tells it.

So for example, let's say you issued the first invoice for $1.00 and used the email template to fire off a link. Again, cool.  Now, let's say that instead of undoing the bill, you decided to bill the account a second time for $3.00 (total A/R is now $4.00), but NOT to use the email template for some reason to send out a second email/link. While I have not tested this, I would expect the initial email link to still feed LawPay a $1.00 balance due amount when you click on the original link.

Right now, that's just how it works, but hey, it's just version 1 of the link, so any feedback is certainly welcome.

If I understand what you are looking for, ANY email link that you have EVER provided to your client via email would ALWAYS reflect the current A/R balance on their account.  I.e., LawPay would have to query Timeslips for the client's current A/R balance. If so, I would suggest you offer that as a new item on the Ideation page here: https://sagecity.na.sage.com/support_communities/sage_timeslips/i

Sage can then see what kind of demand there is for that kind of option.

Nancy is correct.  There is no link between the content of an email sent prior to anything you do in Timeslips afterwards. A client could click on the link in an old email from months ago and still see the same information, as it is what was due when that email was sent.

LawPay doesn't have any information from your accounting/billing programs.  It only reflects what the link tells it to display, and that's the info in the email. There is no restriction preventing your client from entering a different amount in LawPay.  In other words they can under/overpay if they wish to.

I am just treading this water myself and am figuring out the best way to navigate using LawPay.  Thank you for your insight.  I didn't know if it had information from TS or not since there was the ability to pay the current invoice or the balance due.  I have not tested the LawPay Link with Invoice amount vs. LawPay Link with Balance Amount tokens in the statements.  My assumption based on this information is that the balance due token may not be accurate all of the time either.   I may hesitate to use the token for paying off the balance as a standard thing to use in my statements.  I would love to say I never reopen an invoice to make adjustments, but that is not the case.  I can see the possibility of over/under payments using this token as a standard.  For those who don't use LawPay, It is SO much easier than our last cc vendor and I loved coming to work this am and seeing my auto -cc payment had already been done.  I just need to make a click in TS under Transactions tab's new link "LawPay Transactions" to apply the payment that is sitting in the que waiting for me to take care of it.

    Thank you for your replies!

No worries Katmit. I actually appreciated your question. It is thinking and working through questions like this that form the basis of 1) really understanding how it works and 2) finding ways to improve it.

I'm thrilled that you fine the new integration so helpful and easy to use.
