LEDES 1998B

Disclaimer:  I am not an accountant nor a bookkeeper - merely a lowly paralegal to a solo practitioner.  I have been tasked with figuring this out, but I'm quickly hitting a wall and don't know where to turn.  I submitted a "Case" for this, but the response I received was "Please contact support via chat or schedule an appointment for assistance."  I can't get an appointment until next week and I am not trying to type any more than I have below in an online chat to someone to get this resolved.  I barely know what I'm talking about, so trying to communicate my issue via an online chat sounds unproductive.  Alas, here I am because I need a solution more quickly than next week.  I copy and pasted what I wrote in my "Case" below:

I have been following the instructions in "How do I setup LEDES 1998B Format?" (Solution ID 96209 in the Sage Knowledgebase), but have run into questions that I don't believe are addressed. I believe that I have imported the LEDES Task Codes, Activity Codes, and Expense Codes correctly (this should probably be checked). However, when I go into Names>Client List>[open any client]>References, I can only select one additional Template from which I can "Also use References from template". I need to be able to use all of the LEDES Codes I have imported. What am I doing wrong?

Additionally, since this is the first time we've been required to use LEDES formatting, we have old, meaningless, "codes" in our Task List (Nickname 2) that we need to 1) update any unbilled slips over to the LEDES codes and 2) once all slips are updated to the LEDES codes, we need to delete the non-LEDES codes from our drop-down menu. I don't know how to do this or if there is an efficient and safe way to do this conversion.

After the aforementioned issues are resolved, I would like to enlist some help to ensure that the rest of the setup goes smoothly. Our client is requesting a "sample" of the LEDES file we will be submitting to them on a regular basis so they can test it with their system. I do not know how to provide that to them and need assistance in doing so, please!

    This is definitely something a consultant could help with, but there would be a charge. It sounds like something is not set up quite right on your references but without seeing it it’s hard for me to tell for sure. You would not want to delete the task codes because they were used elsewhere in the past, but you could make them inactive.

    Hi , and welcome to the Sage City Timeslips Discussion group.  I am sorry to hear that LEDES1998B billing has come into your life. It is harder than most folks think, and generally not something that you will be able to "figure out" on your own without some assistance, or a LOT of time for trial and error.   

    As a general rule, setting up a LEDES1998B with my customers takes anywhere from 4 to 6 hours. Usually an initial two hours or so setting up all the codes and custom fields, setting the fields to be exported and figuring out the content for those fields. After setting it up, I leave them to do a bit of homework coding slips and filling out custom field data. Then we get back together and I review the homework, make any changes and start training on how to produce and export the bills. I show them how to look at and check the content of the LEDES file. Then we take those exports and try to upload them to the companies that will be doing the auditing of the files. Often those online interfaces are not that intuitive, and I help them get their first bills submitted. From then on, they are pretty set.

    Your question above is an early question, you still have a ways to go. It does not sound like your template client is set up correctly to hold the list of codes. You are correct that you "can only select one additional Template from which" you can pull the list of References. If you are selecting the template and not seeing the list, then it is not set up correctly.
