How to turn off complex password on Sage 300Cloud

Sage 300Cloud/Sage 300c has introduced new security enhancements as of version 2023 PU3. These enhancements involve complex passwords, where encrypted user details that were previously stored on the file system in ISM files are now stored in a new database called the Vault.

Note: Security enhancements are a requirement for all Sage 300 cloud PU3 onward clients and cannot be bypassed.

1) For clients who want to integrate Sage 300c with Sage 300 people, they will need to make sure not to upgrade their Sage 300c version 2023 to PU3.

2) They can stay on PU1.

3) If the client is on PU1 and has set up a complex password, they are able to turn off this functionality by:

 

Note: This is only available on all versions prior to PU3.

This screen is not available on PU3 onwards.

  • Opening your database setup.
  • Clicking on the security tab will open the Advanced Security Settings.

 

  • If the option 'Require complex passwords' is ticked as per below,

  • Please untick it and click OK.
  •  

 

You will need to log out and then log back into the database setup.

  • Please log in using the same complex password. It will then ask you to change your password.
  •  
  • The new password will need to be entered again on the 'sign-on screen'.
  •  

4) After this, please run the Propagate function from the same database screen.

  • Select the system database and choose to edit it.
  • From this screen, please select the Propagate button as per below.

This feature allows data such as users, security groups, and exchange rates to be entered once and then made available for other companies to use. Sage 300 Cloud handles this by utilising two different databases: a company database and a system database. Shared data, such as security groups, is kept in the system database and sent to the company databases that are linked to it.

  

Ather this:

  • The admin user can use the newly created password.
  • The users will, however, be required to change their password when they login using the complex password.
  • They will need to change this to a less complex one.
