Good morning,

I'm new to Sage One Accounting and the Custom Layout Designed Module, so if this is a silly question, please just tell me...

I need to create a new invoice that meets the criteria of our government customers.  As you can see on the attached document, I need to add these six fields to all my invoices.  

Now, I have added these to the "Comments" section just under the Account, but this would mean that I have to retype this for every invoice. 

 

The other option I tried is to add Labels for the required fields, but now I don't know how to add the data of each label to the invoice... 

Do you have any advise for me regarding these additional fields?

    Hi Chris,

    The above could be achieved with the use of User Defined Fields.

    These fields, however, are limited (please see below)...

    From what I can see in your example you require 6 alphanumeric values which can only be done with "Text Fields" (above).

    To make these fields appear you would select them from the "Document Line" (for items) section of the layout designer.

    The same concept above would apply if it a customer user defined field. You would add the text fields from the customer section...

    Because it looks like you need 6 fields, I would maybe try and input 2 sets of data in one field.

    ie. "Make, Model & Mileage"

    I've done the "User Defined Fields" on the Items as you suggested.  But will this mean I have to change the User Defined Field on the Item for every invoice I issue? 

    Isn't there a way to add the User Defined Fields to the Invoice when I do the processing?

    Hi Chris,

    This will automatically populate to your Invoices as long as the "fields" have been added to your report layout using the custom layout designer.

    So whatever has been saved as the user defined field it will automatically populate.

    You will only need to edit if the user defined field information changes (on the masterfile [Item] itself).
