UIF Salary schedule

Good Day,

We have unfortunately had to retrench some of our staff due to the effects of covid 19 on our business.

I am using Pastel Payroll and was able to print the UI 19 forms from the system however each employee that has went to the UIF office has been told they need to complete a salary schedule form in order to claim. The form is fairly simple but as some employees have been with us for over ten years it needs to indicate each salary change and hence is a lot of information to complete per employee.

Does Pastel not have an option to print this form as it should be printed along with the UI19?

Please advise if the form is in the system and if yes where do I find it?

    Good day Stephen,

    Thank you for the post.

    Pastel Payroll do not have that specific form and we haven't heard of this form before.  All of the information (financial and otherwise) should be on the UIF Electronic declaration from the inception of these employees employment with the company, so I am not sure why another report is needed.

    If the DoEL can give you a link to where it is shown as required on their website, we would be more than happy to suggest it to our Dev team.

    You can draw a Monthly Analysis for the whole year with details this will give the UIF an indication of the amounts that has been paid as well.

    For the other years you can either restore a Feb backup for that year or open the Copy Companies and print out the Monthly Analysis from there.

    Hi Christelle,

    I'm interested to know if you managed with your salary schedules?   I also have to complete the salary schedule for all staff.   It's the UI2.7 form.   This is an old form and Pastel should be aware of it.   

    Please let me know if you were able to pull this info from Pastel?

    Unfortunately we do not have this specific form in Pastel Payroll.

    HI Christelle,

    Any development on this form? Companies who have 2000+ employees have to do this tedious exercise for every retrenched employee manually.

    I Christelle, who can we contact to get the salary schedule done on Payroll? I see is was already suggested to the DEV team 2 years ago?

    Even though employees are being declared via the electronic declaration system, the DOL still requires this form from the employee before they can complete their UIF claims.

    Its a mammoth job to manually do this for employees who have work at the company for many years.

    As a construction company we employ and terminate large numbers of employee on a monthly basis, and each and every employee must get this from together with his/her UI19 document.

    Could you please advise who we can contact to get this done as a matter of priority? It has now become a statutory document with the DOL.

    You only have to declare their salaries for the last 4 years, but still, it is a HUGE headache. I am also so frustrated. We had a roadshow/workshop from DOL regarding UIF recently. According to the dpt. you can either do all your UI19's and declarations via your payroll system or via the U-filing system (the latter a nightmare according to the other attendees that use the U-filing system). The presenters actually recommended EDEC submissions. I do all my submissions via payroll and never had a problem with a claim until today. They also told us if there is ANY difference in information between the manual submissions and electronic submissions, the claim gets thrown out by the system. NOW ... According to our Local DOL office individual salary schedules are compulsory as from 1 April 2022. You see where I am getting at?... firstly, (as in my case where staff work overtime, get bonuses, etc. and a different salary each month)  to have this salary schedule submitted correctly, you need to declare the exact amount each month for the last 4 years! I have tried tons of contact info so far, and still nada, nothing, niks.

    This is ridiculous, seriously, who is going to bother to do something about this?

    I also have an issue unrelated to UIF/SCHEDULES that has never been addressed, I work for a Construction Company and there is STILL no Module for the BIBC (Building Industry Bargaining Council) so I have to make all changes manually which can be a nightmare and there are no reports to print, no help section, nothing. I just cannot believe that there are so few Construction Companies on Sage Pastel Payroll that the BIBC is not an option under Bargaining Councils?

    I have the same issue for the BCCEI - Bargaining Council for the Civil Engineering Industry. We have to do manual submissions monthly which is a nightmare to upload to the BCCEI portal.

    But the UIF salary schedule issue are becoming a very big problem. The UIF sends employees back if their schedules do not EXACTLY correlate with salaries received as far back as 10 years ago.

    I see this issue was posted 4 years ago now but there is still nothing from Sage Pastel Payroll! 

    This schedule is required by law and is a huge headache.  The Labour Dept sends the employee back with this form to be filled in for 4 years.  It is an admin nightmare as our employees clock in everyday and work overtime and we have weekly and monthly staff so to physically add weekly staff hours for 4 years is insane!

    The Labour Dept doesn't want the monthly analysis as I usually send that with to see the equivalent monthly salaries but they want you to manually write in each months salary and hours worked.

    When is Pastel Payroll Development team going to sort this out as it is part of the statutory documents required to claim UIF?

    We have checked with our Development team and was advised that this is not statutory or a mandatory report.

    They are looking into it as it has been logged as a suggestion, but again unfortunately there is no timeframe or if this will be implemented.

    Christelle, according to the Labour Department it is.  They are sending our employees back and refusing to assist them with their benefits if this form is not filled in!
