Direct payments from within Sage 50 Canada (Beanstream upload)

Our last blog post was about EFT Direct for Sage 50 Canada which is one of direct payment options available. Today’s blog will focus on the second direct payment option. You can process direct payments (for customers, vendors and employees) from Sage 50 Canada when you subscribe to a service (Beanstream). There is no need to install an additional application as is the case for EFT Direct.

To use the direct payment service through Beanstream, Sage 50 program need to have the banking information recorded first. That can be done by opening the recipient’s record (employee, vendor and/or customer) and update the banking information:

  • For vendors, click on Direct Deposit tab and make sure there is a check on Allow direct  deposits for this vendor and provide the following banking information:
    • Currency and Location,
    • Branch Number,
    • Institution Number,
    • Account Number.
  • For Employees click on Direct Deposit tab and checkmark Direct deposit Paycheques for this employee. And enter the following information in the table:
    • Branch No,
    • Institution No,
    • Account No,
    • You can use Amounts or Percentage on each line but not both,
    • Status should be on Active on the line.
  • For customers click on Pre-authorized Debit tab, checkmark This customer has signed active pre-authorized debit agreement with my company. Then provide the following banking information:
    • Currency and Location,
    • Branch Number,
    • Institution Number,
    • Account Number.

Once the direct payment recipient’s record is updated, transactions posted in Sage 50 Canada can be uploaded to Beanstream. In order to have a transaction show in the upload window, the recipient’s name should be selected in the transaction journal. Sage 50 Canada can transfer three transaction types:

  • Customer’s pre-authorized debit,
  • Vendor’s direct deposit,
  • Employee’s direct deposit.

To upload a file you can either click on File, Import/Export, Upload Direct Payment and choose the transaction type. Or you can, from the Enhanced View, select the module on the left side then click on Upload under Related Tasks (see image below).

                     

In the next window you can checkmark the direct payment(s) transaction(s) then press on Upload on the lower right corner.

The program will then give you an authentication window (below). To fill it out you will need the information given upon registration with Beanstream (you can call at 1-888-261-9610 for sign up or click here).

Please enter the information then click on Upload.

You can check on your Beanstream account here that the transactions are uploaded.

Beanstream can now transfer funds to/from the recipient(s) bank account(s).

    You are correct I wanted to convey through this blog the maximum information in the minimum possible words. I should have mentioned that you can use percentage on one line and amounts on the other. Thanks for pointing that out. Actually the quote “You can enter either an amount or a percentage on each but not both” is part of the comment on the employee direct deposit tab below the table.

    Because of changes on our website the signup page does not work I have updated the link above. Again thanks Dave for your shape eyes I very much appreciate it.

  • To deposit funds into multiple accounts for employees you state "◦You can use Amounts or Percentage on each line but not both," While this is technically correct if an employee wants to put $100 per pay into a Canada Savings Bond account then you need to enter that info on the first line, then take 100% of the balance (on the next line) to go to the regular bank account.

    The signup link you have posted does not work - try using  www.beanstream.com/.../sage50_ca.asp

    There are setup and upload fees and it may take several weeks to authenticate and verify your account info. Also you'll need to submit payroll info by Monday at 2:00 PST for Friday payroll so if you don't currently hold back a week for payroll you may need to start.
