Payroll and syncing

Hi,
I am hoping someone can help me figure this out.  I am just starting up a bookkeeping business.  My first client would like me to take over the bookkeeping and also take over payroll services.  Until now, they have been getting the receptionist to do payroll.  She uses sage 50 premium to do the payroll and print in office.
I will be working out of my home office.  I am unsure how to handle the payroll services, and wondering what other bookkeepers do.  Will I need to print the cheques from my home and deliver to their office each week?  Or is there a simpler way of handling this?

Also, I have the Sage 50 Accountants edition. My client has Sage 50 premium w/payroll. While we are in the middle of transferring the books to myself, is there a way for me to sync up with their Sage on their computer in the office?  So that when I make changes, it will show on their computer?    I do have access to their computer in the evenings through LogMeIn.com.

Thanks for any advice!

Have you been asked to look after all of their bookkeeping, including cheque writing or are they going to print their own cheques? If not, why not set up EFT or some other mechanized direct deposit for payroll and /or payables. This will eliminate cheques. Let me know a little more info so I can try and solve your dilemma.

Thank you for responding!  I will not be doing any other cheque writing.  They don't want to do direct deposit, unfortunately.  I asked around, and I am thinking of having them send me the hours... then I will do up the payroll, then remotely access the computer while the receptionist is there and print them to their printer. I'm not sure if that will be a pain for the receptionist though.   Maybe I should just send them the pay stubs and have her write up the cheques.

you could install cutepdf (a pdf printer) on your printer, print the checks to pdf, email the pdf file to the receptionist to print, and to then delete the pdf

    it's worth testing

Two options come to my mind.

    1) Look into Sage Drive and see if that option may work for you.  This way you would not have to "use" the receptionists computer, but the receptionist would not  be able to access the Sage 50 file simultaneously while you are logged in through Sage Drive.  I've never used it and some people report syncing problems, but it might be something to look at.  This also prevents the need for you to work nights.

    2) In any case, you will have to arrange to make sure someone can monitor the printing so that paycheques don't just get seen by anyone going by the printer.  So why not just post the new payroll entries while you are accessing the data file, then let the receptionist know when it is ok to print them.  Then she can batch print them.

No matter what way you gain access to the file, she will have to tell you which is the next cheque number and she will have to do the batch printing.  However, you will have to make sure that no one in the office can watch the computer while you are doing payroll, so make sure the receptionist always shuts off the monitor in case LogMeIn cannot blank a screen while connected.

I already did this, printing a pdf file and sendingit be I mail.It works fine. Be sure that the remote pdf reader have no odd options as resizing or else. Send pdf by emailor drop it in a cloud
