Access to Chart of Account accounts when posting a journal entry

When I go to post a journal entry, not all of the accounts pop up in the drop down menu.  If I go to create the account again, the system tells me that the account exists already but I don't know how to retrieve it.  Any ideas?

In Sage 50 there are some accounts that are linked to the sub-ledgers. These accounts cannot be used when posting a general journal entry. Linked accounts are used to maintain the integrity of a balance between the General Ledger and the sub-Ledgers. If an entry is made directly to the linked account then the A/R sub-ledger (or any of the others - A/P, Payroll, Inventory) would not be in balance with the General Ledger. Entries to the sub-Ledgers must be made directly to the customer, vendor, employee or item to maintain the balance.

If the need to use a linked account is from the year-end adjusting entries, then you must find the account in the sub-ledger - customer, vendor, employee that needs to be adjusted.

You can check the data integrity by going to the Maintenance Menu > Check Data Integrity. If there is an imbalance you must first determine why by verifying the entries in the sub-Ledger to see if there is one missing, or duplicated. Or is the balance in the linked account the place where the difference is located. when this is determined the proper adjustment can be made to bring back the integrity. If the linked account balance needs to be adjusted then a Sage Certified Advisor/Consultant who uses the Accountants Edition of Sage 50 can assist you. Yes, there would be a cost for this as they do not work directly for Sage.

There is another way - you can unlink the account, make your entry, then relink the account. This can be fraught with peril. I prefer to find the root of the problem and resolve it properly. Data integrity is important.
