Thank you very much for taking the time to tell us about your idea to improve Sage 50cloud Accounts, or to comment on another user’s idea.

Sage are currently reviewing all of the ideas from our customers with the view to include those that have gained the most votes in a future release.

Unfortunately, since posting your wish it has not gained enough support from other members for it to be considered for inclusion in a future release.

Invoice 'Message' Lines (or another special message line) that Shows up in the 'Details' field - OR - the ability to add a custom narrative to invoices rather than itemised product lines

For the Company I work for, it would be enormously useful to have the ability to add a new type of special message line that sits at the top, or somewhere in the product/service invoice, but that, when filled in, displays in the 'Details' field - rather than a consecutive list of the product/service items that currently appear.

This is because we have a very highly itemised product and service line that we need to process on invoices for reporting purposes. This is not usually relevant to the customer and it would be better for them if they could see a custom narrative that describes what they are being invoiced.

E.g. Instead of 'Service Item 1, Consultancy Hours Package, Equipment Test - 5' etc. being listed in the Details of their invoice, the Details could instead say 'Routine Services Contract' or something similar - entered by putting a special 'M' or otherwise line on the invoice somewhere.

This would help again when we send remittances as, at the moment, we have to use the e-mail template option because it just says 'Goods/services' next to each invoice number.

The main remittance template pulls in the product names from the invoices in the details - but for us this means it pulls in a great list of items, where I would much prefer the ability to have it pull in a custom message - such as " Services Contract 2019 - 2020"

  • I'm with you on this. We've just come over from TASBooks, where it was quite easy to add 'free text lines' to quotes and invoices. Albeit the lines were quite short, but you simply continue on extra lines using '-' as a product code. We now use the Sage 'M' memo lines a lot and while he lines are longer that in TAS, you are limited to three.

    Another advantage in TASBOOKS was that you could save 'Free Text' messages to re-use in any subsequent quotation or invoice, which did quite a lot. While we found in SAGE we could 'memorise' a  Memo, and recall it later, recalling it did not actually place it in the current document - it creates a new one. Not wat we require at all.

    When trying to edit statements I cannot find anywhere the variable or field for Notes 1 in the report designer. I've also looked through the list of coded variables from Sage (https://my.sage.co.uk/public/help/askarticle.aspx?articleid=18652).

    Perhaps I am missing it somewhere, though. I'm relatively new to this and am finding Sage's Report Designer quite difficult.

    Analysis codes may be useful and easier to locate, but we use these for other reporting purposes already.

    So that's why I think a more elegant solution might be applicable and this should really be made more accessible without detailed editing of reports in a clunky designer.

    When we create an invoice, I would love the ability in the print or email options to click a 'Use Message Line Details Only' template, or something similar, to wrap up the itemised product lines behind a custom narrative.

  • Depending how many characters your "note" is you can use any of the 3 note fields on your sales invoice and/or sales order. note1, note2 or note3. Each note field can hold 60 characters.

    Then ensure that specific Note field is added to the invoice layout template and make it wide enough to accommodate the text. Position the note whereever you prefer on your invoice. And you can also edit your reports to show this note.
