Crystal Report Printing of Departmental Reports - each department is a separate PDF?

SUGGESTED

I've been working with creating new income statement reports.  I have 100+ departments and when I print out the income statement, each department is printing individually.  I would like to have all 100+ departments print in one PDF??  is that possible?

    Where are you printing from?

    Hey Tom,

    I'm printing directly from Modules>General Ledger>Financial Reports

I'm printing a basic Income statement along with the departments.  If I print to PDF..  I get single PDF's for each department, and I'm required to  click to save each of the 100+ department reports.

My goal would be to have just one PDF for all the departments

also I'm not able to use Sage Intelligence, because there is too much data.  SI takes over an hour to run, and it is possible that corrections would be made. then another hour to run SI after the corrections.  SI is too cumbersome for that many companies.

Hi, In G/L financials, If you require an Income statement by department, then each department generates a separate report (Individual PDF). Change the type Income Statement Type to Combined Summary and see if that meets the requirement. If Intelligence performance is slow don't include the G/L detail in the report.

    John,

The combine summary just gives me the one report, for all the departments summed up (as the report title suggest).  I would like to find a tool that would "merge" all the individual department reports into one PDF....  The only issue I have now is that 100 + reports will pop up, one at a time and requires my intervention to save or close them out one at a time.  Which is time consuming and does not allow me to see all the department reports in one document.  So I'm just trying to create one document for all the departments, not 100+

    Thank you for your response!

Hi, You'll need to either use Sage Intelligence or a 3rd part reporting tool.  GL financials generates a separate .RPT for each reporting segment (dept) which is why each department report is requiring a file name. An alternative would be to create the report from scratch in Excel. Each tab (worksheet being a department) use GL_PeriodPostingHistory if you need only summary postings by period and not detail. I'll ask the in house Sage Intelligence expert for direction on improving the processing speed. I believe you can use summary instead of detail postings to generate a Intelligence report. Thanks John

John, I appreciate your “informed” response.  Your reply is confirmation that I may need to find a third-party application, to running reports on large number of departments.  I’ve reviewed many third-party solutions, and I believe I have narrowed it down to one that should work the way I needed it to.   It's unfortunate that FRx was never replaced with an equal quality solution.  I’m surprised that a software (FRx) that dates back so long ago, is still better than most new reporting solutions.

I find it surprising that Excel seems to be the “de facto”, for financial reporting tools.  I use Excel all the time, however it is not suited for holding large amounts of data, that needs to be molded in a complex manner.

    Thank you again

John...  I believe I found a work around solution to my own question....  I had thought about using Paperless office a few days ago, and finally got around to trying it out..  The result is somewhat amazing..  you can send a trend report, with all the 100+ departments to paperless office, and it will print all the PDF's without user intervention..  It really is a nice way to generate financial reports, then you can go back to view them after the report generation has been completed.  If corrections are needed, just delete the prior reports and print them again..  It is not exactly what I was wanting, however it may be a temporary alternative solution..

thanks for working with me on this!
