Close Current Month Takes Forever Due To Old Records/Files

Hello,

I am not very familiar with Sage BusinessWorks 2020 as I am simply the IT person. My accounting team came to me about an issue when running the AR > Close >Close Current Month process. They said it takes forever to run because they have 89 pages of customer records that the system runs through. They also said that a majority of these records are old and unneeded in the Close Current Month process.

Given my lack of familiarity, I would assume that there is a way to avoid this issue. Perhaps a matter of process that is being missed? I'm wondering if the records can be marked as inactive in bulk based off age and activity, and then purged given similar conditions.

    Before making a change , please backup.   There are setting in each module for months to keep histories. I keep mine at 36 months. And it controls the monthly purges that happen during month close.

    I am too the IT person, but I'm involved in the close process each month. The Accounting team runs all the reports (at desktops) and I run the module close (at the server for speed.) This prevents the data stream from flowing to a workstation and then back to the server thru the slower NICs (1Gbps)

    Our Server is just under 1 year old, Dell T550 - RAID 5 SSDs (4)]- XEON Gold 5317 processor - MS Server 2019, BW 2023 network / 20 seats

    The backup and "close" process takes up to 12 minutes per company. (October 2023 close results)

    Lastly the Monthly CLOSE process can also be ran from the FILE Menu - > Utilities->COMPANY CLOSE

    I dont have an answer or a solution for you, however I do have some information that Ive noticed with our system that may be helpful. We only have 2 computers in our office. The main computer has BusinessWorks physically installed on it and it also functions as a daily PC for our office manager. The 2nd computer is a network workstation in the same office. Both computers are wired into the network with Cat6 cables. If we close the month out on the computer/server that has BW actually installed on it, it takes 5-6 minutes to complete.  If we close the month out on the workstation, it takes right at an hour. We had our network speed and settings checked by a network specialist who said everything looks great and the computers are communicating with each other as fast as possible..   We just always close the month out on our server computer. Wish I understood why it takes 55 minutes longer to do the same task using a workstation 10 feet away from the server on a brand new network with new ethernet wires. Hope this can be of some help.

    The internal bus for the Hard drives systems are way faster then the network

    Our situation is almost identical to yours, Ryan. And the same is true here, close on the server and it goes fast, on the client station it takes a lot longer.

    There is NO manual way. The Old data is purge when the month end is processed. You control how long the data is stored in months.

    WARNING DATA LOSS CAN OCCUR IF THIS NUMBER IS SET TOO LOW.

    Each module has settings for storing data, and the control is expressed in MONTHS to keep data. I have mine set at 36 months.

    my 2 biggest companies have data folders sizes of 1.2GB and 1 GB - both are set for 36 months in each module (GL,AR,AP,IC,OE)
