Setting up a new user – basics (Creating a user with basic access, blog 1 of 2)

When looking to create a new user within X3 there are many options and settings that will impact what that user will have access to and what they will be able to accomplish once logged in.

Let’s review the basic “User” setup.

We will add a new user login named “Test” using standard authentication and a basic password that they will be able to change upon first log-in.

Navigate to:

  • Administration, Administration, Users, Users
  1. Login – Name used when logging into X3.
  2. Active – Check box to indicate this user is active.
  3. Authentication – This field defines the user's authentication policy.
  4. New password – Set a basic password for the users first log-in.
  5. Password never expires – This option is available to use but not recommended.
  6. Require password Change – Tick this option to prompt the user to set a new password upon first login.
  7. LDAP instance – Use this if you are using an LDAP policy and have a LDAP directory to select.

 

Now let’s personalize this account.

Set a Title, First, Last name and Email for this account.

You can even add a photo of the user to their account if you want.

 

Groups:

After naming and setting up the basic account information we need to assign a group to this user.

You likely have many to choose from, so in this basic setup feel free to use a group that already exists.

I’ll go into greater detail on this section in my next blog.

Clicking the Plus icon opens the list of Groups you can select.

I have a “Basic User” group that I will be using.

  • Tick the box next to the group.
  • Click OK.

 

  • Save to create the record.

 

We now have a basic user login created. Let’s create the user profile that this login will link with.

Navigate to:

Setup, Setup, Users, Users

  • Create New record.

Add detail to the following areas.

  1. Code – Enter a code, typically matches the user this will be used for.
  2. Name – Add the users name.
  3. Active – Select this option to activate the account.

General setup:

  1. X3 Connection – Allows this user to log into/access X3.
  2. Web services connection – Allows this user to log in/access web services.
  3. Login – Login name (Select the User you just created)

 

  • Menu profile:

For a basic setup to match the user we are creating I’ve selected a pre-set Sales Admin Menu profile.

  • Function profile:

For a basic setup to match the user we are creating I’ve selected a pre-set Sales Admin Function profile.

  • Parameters: Leave the current values, I’ll go into greater detail on this section in my next blog.

Access:

All access codes – If this box is checked, the user has been granted all the rights (in read, write and execution mode) on all access codes.

When not selected you can use the grid to indicate specifically what types of access they will have.

  • Save to create the record.

 

 

Now that we have created the “Test” user accounts in Setup and Administration lets log-in to see what all those options are doing.

Use the Login and Password created in the steps above.

 

 

The first thing you will see is a prompt for this user to set a more secure password, this is a result of the setting from Administration, Administration, Users, Users (Require password change)

*Note: this can be done at any time to force a password reset on any user.

Once the new password has been accepted this user will connect and have access.

Congratulations, you’ve created a new user.

 

Troubleshooting potential issues with a basic setup.

  • If you have a blank screen with no landing page and the top bar only shows the user and role this means that the group this user was linked to does not have an endpoint specified.

 

To fix:

  • Log back in using the Admin account.
  • Go to: Administration, Administration, Users, Groups
  • Select the Group you’ve added to this users setup.
  • Edit
  • Add the endpoint you are looking to connect to.
  • Save

  • If you have a blank screen with no landing page be sure the correct endpoint is selected on the top bar as you may be connected to the “Syracuse administration” endpoint.
