Purchase Request to Purchase Order

SOLVED

Hi

We have been doing a lot of work of late in this area, the system seems quite restricted in that

1/ I have to create a product to create a purchase order - if its non stock I should be able to indicate that and process accordingly.  If a service/consulting PO is raised I will need to add the Qty as 2000 and the amount as $1 to allow a PO of $2000 to be receipted against multiple times.

2/ The description field is very short  - I know I can add extra fields but this means adding them all the way through. I would have thought a detail line field for comments of at least 256 characters would be a minimum

3/ Purchase orders in nature are often directed to individuals who are not listed on the BP record, so a contact and email address field would be a valid request.   I know I can add these fields, but I feel a product of this size should accommodate these simple requirements

How are other people getting around these limitations, I will add them to ideascope once I confirm that there are not actual workarounds to these requests.

Thanks in advance

    Hi Stacey,

This is something I've brought up in CAB as well.  It is a limitation for us, however the work around is a generic items set up in products, with some custom fields set up to allow for a product description.  I've been working on a work around for a couple of months but haven't had time to finish it.

I'll let you know when I end up with, but you are correct the system should allow this inherently.

    Hi,

If the product is a non-stock item and it's kind of generic you can use a generic code and then change the description in the order line.

When you are in the purchase request, each line has an unlimited text field. Right-click on the line, one of the options should be Text. That text can be used in the reports later.

If you want to send an email from the PO, you can go to the menu "Utilities > Send to..." and that will open a window where you can specify the email manually.

    Hope it helps,

    Alex
