Fixed asset physical asset Function
A physical element is an equipment used in the company and carrying the specific information to track this equipment (receipt, report, transfer, disposal) and its count (bar code, localization) and is assigned to a location and a building.
A physical element can be attached to one and only one asset. However, several physical elements can be attached to the same asset for example, a central processing unit, a screen and a keyboard are three physical elements that can be attached to the same asset: a computer.
A physical asset can be created manually or automatically.
Process
Create a building.
Common data>Fixed assets tables>Buildings
Create a location and link the building.
Common data>Fixed assets tables>Locations
Create a fixed asset.
Fixed assets>Fixed assets>Assets
Create the physical element and link it to the fixed asset.
When creating the physical asset it is important to note that you cannot duplicate a physical asset if the PHYAUTNUM - Physical asset numbering parameter (AAS chapter, PHY group) is set to None.
The PHYAUTNUM parameter is used during the creation of a physical asset, whether by direct creation or by automatic creation and attachment upon the creation of an accounting asset.
Upon creation, its reference may be allocated automatically if this parameter specifies it:
None
The automatic numbering is not activated. The reference must then be entered by the user and the user only.
Optional
The reference can be entered. If it has not been entered, it is automatically allocated when validating the physical asset creation.
Mandatory
The reference cannot be entered. It is automatically allocated when validating the physical asset creation.
When it is automatically allocated, the reference is based on the setup of the sequence number linked to the document of the Physical asset reference type.
Manual creation
Fixed assets>Physical management>Physical assets
After linking the asset to Physical element, the icon will show on the Fixed asset screen to show that it is linked to Physical asset.
Automatic creation of Physical asset.
Set the parameter PHYAUTCRE to YES.
Setup>General parameters>Parameter values
AAS Chapter>PHY Group> PHYAUTCRE
The PHYAUTCRE parameter is used when creating an asset in Fixed Assets or when importing using the FASX3 or FAS standard import templates.
When the parameter is set to Yes, the same number of physical elements specified for an asset at the time of validation are automatically generated when you validate.
No - This is the default setting when the PHYAUTNUM - Physical asset numbering parameter is set to None.
When the parameter is set to Yes after you click create on fixed asset screen the physical asset is also created automatically.

It is also possible to link a new physical element or detach the existing one to a fixed asset by clicking the physical element icon.
