Remote data access not working

Hello,

Our Sage50 setup includes 5 companies with multiple users in each company. One company was successfully shared yesterday by the data owner, with a second user able to log in and work. The second user logged out for a time and when they tried to log back in about 2 hours later got the message that their user ID was already using the company and they could only access in read-only mode. The data owner had also logged out for the day in the meantime (leaving the company in shared mode) so the company was not open at all when the second user tried to log back in. This morning the data owner could not get access to the company, also receiving the message that the second user's ID was already using the company (they were not). We had to restore the company from a back up to be able to open it again.

We had followed the steps in article 105572 to migrate the data and in 105521 to set up users, and it seemed to be working initially. I've been searching the knowledgebase and forums for more specific information on best practice for using remote data access in setups like ours but can't find anything that really lays out what that would be. Is it a Sage ID issue, in that once an ID is used on one workstation it's only recognized at that same station (some info I found seems to point to this)? I'd really appreciate some help so that our multi-company multi-user setup can successfully use remote access.

    Hello all, 

    Yes, the error "this shared company is already open" can occur even if all the users are logged out… the error happens for a number of reasons:

    • Sometimes a sysadmin logs in with a different login,  when they should use the original one.
    • A user logs in with the incorrect combination

    To change the username, visualize your setup. Below is a sample setup:

    • Note that the sysadmin login will take up to 1+ hours to release before it can be used to log onto computer 2 or 3
      • Make sure there's a unique user for each user
    • Before you can change the Sage ID being used on Sage 50 go to the welcome screen > Connect to a shared company.
    • Select "Log in as a different user"

    Note that the Multiuser screen is only available when you close / reopen Sage 50 CA fresh (there's no RDA switch option when live in the software). Standard (non cloud connected) users can still access the switcher from the File menu.
