Can I reconcile my bank accounts daily?

SUGGESTED

I am new to the bookkeeping position I was 3 months behind on reconciling some accounts and it is took much longer than expected.... Going forward I would like to reconcile it daily. Would that cause an issue with Sage if I check off the transactions as they hit my bank account?

Thank you in advance for any help!

I statred at my job last July and the bank statements were behind by 2 months. I still do not know how to reconcile. I am afraid to attempt it by myself. I cannot seem to find anyone local that is a bookkeepper that uses SAGE to help me. I have tried to find help but there is no one except those that charge $175 per hour to help. Are you open to helping me? I think your question is great! Stay up to date daily! I like that. I use quicken at home and download my account every day. Cynthia in VA

You can do that without an issues.  If you are in subscription, you can connect to your bank account and download transactions daily.

I reconcile our company's checking accounts daily in Sage 50.  (Note:  I do NOT use the "automatic download" from our bank to Sage 50.) I open the bank's website to view transactions, and I also go to "tasks", "account reconciliation" in Sage. At the bottom of the reconciliation window, there is the "Statement Ending Balance", where I enter the current balance shown on the bank's website.  This will trigger the "unreconciled difference" to show the difference between Sage and your bank.  I check  off the deposits and checks that have cleared the bank since the last reconciliation.  If there are any automatic withdrawals, I enter those into Sage and then check those off on the reconciliation window.  I then turn my attention to any electronic receipts that our customers sent in.  I apply those receipts to the appropriate customer's invoice in Sage, and then check off those receipts in the reconciliation window.  At this point, my reconciliation balance at the bottom should equal the bank's website balance, and the "Unreconciled Difference" should be "0.00."  I then click "OK" at the top of the Account Reconciliation window.  HERE is an important thing to note:  When I open my account reconciliation window in Sage, I always make sure the "Statement Date" selection is the last day of the month I'm working in.  For instance, this morning, I will open the account reconciliation window and select the "Statement Date" as "May 31, 2022."  It will show me everything I've cleared up in May up through yesterday and also everything that is still uncleared.  After I finish reconciling for today and click ok and close that window, I know that the next time I open up the reconciliation window, it will automatically want to advance the "Statement Date" to the end of next month (June 30, 2022) AND it will only show me the transactions that have NOT cleared.  So I go to the "Statement Date" selection and select the end of this month (May 31, 2022), and it shows me the way it was yesterday when I ended the reconciliation showing all the cleared transactions, the Statement Ending Balance from yesterday and an unreconciled difference of 0.00.  Just like when I closed it out yesterday.  The only time I advance the month is when I actually get to the next month and will then enter the last day of that month as my Statement Date.

Hi Cynthia.  I don't use the "automatic download" from the bank that Sage offers, so my input would be different from someone who does.  After some time doing this, you may decide the automatic download is something you would be interested in.  I tried it a while back and it just didn't work for our use.  I hope the following helps:  One thing I would suggest, if the statement reconciliation is still behind by 2 or more months, reconcile one month at a time, starting with the oldest month.  Looking at that month's bank statement, open Sage 50, go "tasks", "Account Reconciliation".  At "Statement Date", enter the last day of the month you are trying to reconcile.  You will see a list of unreconciled transactions. At the bottom of the window, you will need to enter the dollar amount that the bank says is your ending balance in the "Statement Ending Balance" box.  Then it will show you the "Unreconciled Difference" between the account in Sage and your bank.  As you go through the list of transactions on the bank's statement, check off the boxes under "status" (in the Sage reconciliation window) that show up on your bank's statement.  As you go through the bank statement, make a notation next to any transactions that do NOT show up in Sage, if there are any.  You will need to enter those transactions into Sage and check those off also.  As you check these off, you will notice the "unreconciled difference" amount will change with each cleared transaction.  The goal is to get the unreconciled difference to 0.00.  If there is a bank service charge, or if the bank paid interest on the account, there are two places at the bottom of the window to enter that information.  either "Interest Income" amount or "service charges" amount.  Enter the date they were applied and what account "meaning in your chart of accounts" this interest or bank charge should be applied to.  If your "unreconciled Difference" does not equal 0.00 after following all the steps, look at the top of the window and you will see the total cleared for "Checks and Bank Debits" and also the total cleared for "Deposits and Bank Credits".  Compare these totals to those same categories on your bank statement.  That will give you insight as to where the difference might be.  Once you get the accounts balanced and up to date, you might find it helpful to do it on a daily basis, which I posted down below in reply to Breezy32 question.   Please note one thing, before making any changes to the account you're reconciling, adding transactions that are not already in Sage, interest, service charges, etc,, please check with your Accountant for approval before proceeding.  I hope this helps to get started.  After doing it a few times, you will develop the way that works best for you.  Slight smile

If you can connect to your bank, it will bring in all missing transactions.  It saves you a lot of time.

Thanks so much for the advice.  :)  Our bank's "pending" transactions will not download until they are no longer pending, which usually takes at least a day.  I use the same bank for my personal banking and it's the same with my at home Quicken software.  The download works seamlessly, except the pending transactions won't download.  However, the ending bank balance reflects those pending debits and credits.
