We have a workflow in place that was assigned to an individual for a Purchase return. That person is no longer with the company. We have couple of purchase return that are waiting approval. How can we reroute those return to a new person.

A signature can be applied or rejected by an admin or other user with rights using the Workflow Monitor in the Usage - Usage menu. You can also assign a delegate for a specific user for a given period of time using the Setup - Workflow - User Delegates function. This will give the assigned user signatory authority for the former employee.
By any change do you have an example of how to setup the signatory authority?
Thanks,
In User Delegates, Select New and enter the user code that the current workflow actions are assigned. Then in the lines - User Delegate enter the user code you want to give access to. Under Type select PUR for purchase workflows. Type of delegate should be With authority. The date range allows you to give temporary access but is not required. The delegate should then be able to sign on behalf of the named user.
Would this take care of the items that are already in the pending que for the old employee. Thank you for the explanation.
If an item is pending , any changes to that Item will start a new signature workflow.
In other words if you and make a change to your PO return and save, it will start over.
Regards,
Any of the pending items can be signed in the Workflow Monitor, or changed and resaved to trigger the workflow to restart with the new delegate info.
Workflow monitor for the ex employee:
This is the user delegate that I created:
When I now go back to the workflow monitor and search the que for the new assigned person, it comes up blank.
Have you tried to Sign the actions in the workflow monitor when you search the old user? To have them show under the new user, the workflows need to be restarted by changing the items.
How would I "sign the action"? Also, how would I restart the workflow?
The Action Card should show a Signature option, then you will have the ability to accept or reject. Any change on the source document will restart the workflow. If the workflow is restarted it should use the assigned delegate.
Since the ex employee is no longer with the company and some of these entries are dated 2017, is it possible to get rid of them without approving them as the books have already closed. Approving them would make an impact on the books.
You can use the Signature option and then reject the approval.
Since the employee is gone. How can I replace that workflow with the current employee for good? Again thank you so much for your detailed answers so far.
You can adjust the names in the workflow under Setup - Workflow - User Assignment. Select the workflow you need to edit and replace the user ID in any values.
How can I know which workflow it is for the purchase return?
I went under workflow setup and clicked in each one and I looked at the people name and non of the people that get that workflow are listed in any of these workflows.
Usually you can track it down by matching the message header/body to the email that is received if there are multiple similar workflows. But the names you would be looking for are most likely not stored in the workflow itself, but in the User Assignment. This is a different function controlling the routing to different individuals based on various criteria.
Someone accidentally, rejected a workflow, now the workflow reads "to be read". We checked with the previous approve and nothing is in his que. How do we clear this?
They will not show under the new delegate until they have restarted with changes. I would suggest rejecting them using an admin account or the old user ID.
This issue in in Live folder and no delegate is assigned.Any advice.
To be read can be cleared using the Acknowledge action instead of signature.
Where would Acknowledge action be located?
On the Action card in workflow management.
